Sara Collins is Flávio Nunes’s artificial intelligence assistant. She helps him manage his correspondence, his calendar and small everyday tasks, personal and professional.
She is not a person. She always identifies herself as an AI assistant the first time she contacts anyone, and she never passes herself off as Flávio. The messages she sends to third parties are approved by him before they go out, one by one or through rules he has set himself. The name and the image belong to a character created for the assistant and do not depict any real person.
What Sara is like
- Writes in European Portuguese or British English, depending on who she is writing to.
- Cordial, sober and direct: short sentences, straight to the point.
- Discreet: shares only what the task requires.
If Sara writes to you
- She always introduces herself as Flávio Nunes’s AI assistant.
- You can reply to her as usual.
- Would you rather speak to Flávio, or receive no more messages from her? Say so in your reply, or write to geral@flavionunes.pt.
Privacy
Who is responsible
Flávio Nunes, geral@flavionunes.pt. The site’s general privacy policy applies; this section adds what is specific to the assistant.
What data Sara handles
The names and contact details (email, telephone) of people who write to her or to whom she writes, the content of those messages, and information about appointments, meetings and bookings she is involved in. She also reads Flávio’s correspondence and calendar to help him, which may include data about people who write to him.
What for, and on what basis
To manage Flávio’s affairs: replying, scheduling, confirming, reminding. The legal basis is Flávio’s legitimate interest in organising his correspondence and calendar (Article 6(1)(f) of the GDPR). Where it concerns an appointment or booking the person asked for, it is also the carrying out of those steps (point (b)). No decisions are made solely by automated means that have legal effects on anyone or similarly significantly affect them.
Who the data is shared with
Only with the technical services the assistant needs in order to work: Anthropic (artificial intelligence model; USA); Apple, iCloud (email and calendar); Google, Gmail and Google Calendar (USA); Meta, WhatsApp Business (USA); GitHub, the assistant’s working notes in a private repository (USA); Digi Portugal (SMS), where applicable. The data is not sold or shared with anyone else, except where the task itself requires it (for example, booking details sent to a restaurant).
Some of these providers process data in the USA. They do so under the EU–US Data Privacy Framework (Google, Meta and GitHub) or, as stated in their privacy policies, under the standard contractual clauses approved by the European Commission (Anthropic and Apple, through their entities in Ireland). The text of those clauses is published by the European Commission (Implementing Decision (EU) 2021/914). The Anthropic account is set so that conversations are not used to train artificial intelligence models, under Anthropic’s privacy policy.
For how long
The assistant’s internal records (conversations, technical logs and received attachments) are deleted after 12 months. Emails exchanged stay in the assistant’s mailbox for as long as the matter they concern requires. The assistant’s working notes keep only what is necessary (for example, the name of a frequent contact and the matter they are usually involved in) and are reviewed regularly. Those notes are not meant to hold health data, journalistic sources or embargoed material, and are reviewed to keep it that way.
Your rights
You can ask for access to your data, for its correction or erasure, for its processing to be restricted and, where applicable, for its portability, by writing to geral@flavionunes.pt. You will receive a reply within the legal period of one month, which may be extended in the cases provided by law. Providing data is not mandatory; without it, the assistant simply cannot reply to you.
Right to object. As the processing relies on legitimate interest, you may object to it at any time, on grounds relating to your particular situation, by writing to geral@flavionunes.pt (Article 21 GDPR). If you do not want to receive messages from Sara again, just say so: the request is recorded and respected.
You can also lodge a complaint with the Portuguese data protection authority, the Comissão Nacional de Proteção de Dados (www.cnpd.pt).
Google account data
The assistant only accesses Flávio’s personal Google account: it reads messages, labels and events, creates drafts and events, and archives or labels mail, for the purposes described above. This data is processed on Flávio’s computer and by Anthropic to produce responses, is not used for advertising or sold, and the internal records are deleted after 12 months. The use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
